AI agent for healthcare: a full calendar and a free team
AI agents for clinics, practices and optical stores that work out the slots genuinely free, book them, remind over WhatsApp and charge for the exam. Without touching the medical record.
Is your team worn out booking and answering the same things?
These are the bottlenecks costing your healthcare operation the most sales and time.
A full calendar and a free team, without touching the medical record
AI agents for clinics, practices and optical stores that work out the slots genuinely free, book them, remind over WhatsApp and charge for the exam. Without touching the medical record.
Before and after
From the same old bottlenecks to a real advantage
Appointments requested by phone, only while someone is there to pick up.
The Met books inside the chat at any hour, with the slots that genuinely remain.
Hours quoted from memory, and two patients booked at the same time.
Availability is computed by crossing the booked calendar with the branch’s hours.
Empty chairs from patients who did not show and did not call.
A reminder scheduled at booking, and cancelling or moving resolved in the same chat.
Admin staff repeating the same information all day long.
Scheduling, contact details and payment resolved on their own; the rest goes to a person.
The solution
How Meteor automates your healthcare operation
Slots that are genuinely free
On Softix, the Met crosses the booked calendar with each branch’s opening hours and its practitioners. On Meteor Scheduling or Cal.com, it reads real availability.
The appointment created at the exact time
The booking uses the slot exactly as the lookup returned it, not a rewritten time. That is where time zone errors and appointments in the wrong shift creep in.
The patient registered, not duplicated
Before creating anyone, it searches by ID number or by phone. Registering a patient who already exists splits their record in two.
A reminder before the appointment
It is scheduled the moment the appointment is booked and goes out as an approved WhatsApp template, the only message the channel allows outside the conversation window.
Cancel and reschedule without calling
A moved appointment is recovered; one nobody showed up to is lost whole. Making it easy inside the chat is what brings no-shows down.
Payment for the exam or the deposit
A payment link inside the conversation and confirmation that the money landed before the appointment counts as closed. Meteor never touches card details.
Integrations
The systems your healthcare operation already runs
The schedule, the payment and the patient record already live in some system. The Met does not replace it: it connects and works inside it.
Softix
8 toolsThe clinical calendar used by optical practices. The Met works out the slots that are genuinely free: it crosses booked appointments with each branch’s opening hours and its optometrists. Then it books, cancels, reschedules and registers a new patient after looking them up by ID number.

7 toolsIf your practice does not run on a clinical system, Meteor’s native scheduling: services with their duration and price, real open slots and a booking tied to the contact in the conversation. No credentials to request.

6 toolsIf your practitioners already book through Cal.com, the Met reads availability, books and cancels from the chat. Several connected accounts cover several branches or practitioners.

24 toolsThe patient as a contact: custom fields, tags, internal notes, reminders that go out over WhatsApp, and handover to a person the moment the question stops being administrative.

7 toolsCharge for the exam or the deposit with a payment link inside the conversation, and confirm the money landed before treating the appointment as closed.

18 toolsQuote the service, record the payment and check receivables from the chat. Alegra does not file electronic invoices with Colombia’s DIAN on its own, and Meteor does not replace your accountant.

The limits
What Meteor does NOT do in healthcare
We would rather say it here than have you find out during implementation.
-
The scope is administrative: scheduling, contact details and payment. The medical record and test results stay out, and no Meteor integration reads them.
-
Softix exposes the booked calendar, not the opening hours. Without declaring the hours and the practitioners of each branch, there is no availability to compute.
-
The full list of a practice’s optometrists cannot be pulled at once: the platform only allows looking them up one at a time by identifier.
-
Meteor Scheduling does not sync with Google Calendar or Outlook, and does not book on behalf of a third party: the appointment stays tied to whoever is writing.
-
With Cal.com, moving an appointment means cancelling it and creating another. One-step rescheduling only happens on the native calendar.
-
Neither the calendar nor the clinical system charges on its own. The payment goes through the connected gateway, and Meteor never touches card details.
-
Alegra does not file or void electronic invoices on its own, and Meteor does not replace your accountant: it is an operational window, not an accounting judgment.
-
It does not send bulk messages. Reminders go out one at a time and as an approved template, because outside the conversation window WhatsApp only allows templates.
-
It does not decide on overbooking or waiting lists. If there is no slot, the Met says there is no slot; filling the gaps that open up is still the clinic’s call.

Questions about Meteor in healthcare
From crossing two things. On Softix, the booked calendar the system returns and the opening hours you declare per branch and per optometrist: Softix does not expose opening hours, so without that configuration there is no availability to compute. With Meteor Scheduling or Cal.com, the open slots are computed from the services and the hours defined there.
No. No Meteor integration reads medical records or test results. The work is administrative: hours, appointments, contact details and payment. It is a scope decision, which is why it is written here and not in the fine print.
No. Softix is the clinical calendar optical practices run on, and if you already work in it, the Met operates inside without moving anyone to a new system. If your practice has no clinical system, Meteor’s native scheduling asks for no credentials: you declare the services, their duration and their hours, and the Met books from that. And if your practitioners already use Cal.com, that works too.
Two concrete things. The reminder is scheduled when the appointment is created and goes out as an approved WhatsApp template, the only message the channel allows outside the conversation window. And cancelling or rescheduling is resolved in the same chat, with no phone call: a moved appointment is recovered, an appointment nobody showed up to is lost whole.
Yes. Availability, creation and changes all take the branch, and the hours configuration is declared per branch with its own practitioners. In Meteor Scheduling each service can have its own resource; if none is given, the first available one is used. And with Cal.com you connect several accounts, one per practitioner or per branch.
It generates the payment link with the amount and the description and sends it on the same channel. The charge and the card details happen inside your gateway, never inside the conversation. The Met then looks the payment up by its number to confirm it is approved before treating the slot as taken.
The CRM, the native calendar and Cal.com do not depend on the country. Mercado Pago operates in Argentina, Brazil, Chile, Colombia, Mexico, Peru and Uruguay, and Alegra in Colombia, Mexico and Argentina.
